Streamlining Property Lead Management_ Boost Efficiency and Save Hours

I was working with a client, a couple months ago, and they were getting their property leads, and they were inputting it into the CRM. And then they're the property lead was going to their underwriter, and then the underwriter was sending it over to the, disposition, which is great. And that's okay. But if they weren't getting all the information from the acquisitions person, and the acquisitions person didn't know that the underwriter needed certain information as the and as the disposition person was trying to, market the property, they realized that the information that the disposition person was gathering in order to put together their marketing sheets was information that the acquisition person could have got it, and it saved the entire process. About four hours from start to finish. One business I was working with, they said that one real estate investment business, they didn't know where. The disposition person didn't know where they were in the process. I helped them understand what the underwriters job was. So instead of them on every deal, they would reach out to the acquisitions person and they would reach out, reach out to the owner to try to get direction. They learned that the responsibility of the information that they were trying to get was from the underwriter. So instead of them taking 20 minutes to try to find it, they just reached out to the underwriter.

The initial consultation, consultation, meeting and first few weeks of processes is talking like I'm going to my team. We're going to ask a lot of questions, we're going to ask, and a lot of our questions aren't going to be specifically about the business. A lot of our questions are getting a background on the person, the people that we're working with, the people that you work with so that we can figure out what the strengths and weaknesses are of the individuals so that we can understand the process for the business as a whole. It's not a job anymore. It's my passion and my strengths that I'm able to use my strengths of business processing right when when I was just talking to a client last night in automation for, for, real estate investment company that I'm working with, and without talking to him, I would not have known that he has a passion for running a small food truck. donut truck, as a matter of fact. And he streamlined the processes for that. And that's a cool hobby that he does with his wife. But. And it's not as true passion, but it's something that he loves doing, you know, and it's definitely relatable. What he does there is definitely relatable in the business that he's helping with. In the Realtors real estate aspect. Services are, Streamlining business processes. The main thing that we do is during our discovery phase, we'll get a very good idea of the strengths of each person that you work with and help make sure that they're adding to your company the best way that they can, so that you're getting the most value out of your employees. Your business partners, your consultants, and you're able to grow based on those strengths. And it could be that they're they need to be in a different position than what they're in. Or you could need to hire somebody else that you don't know about. But either way, the employee, the consultant that you're working with is going to be able to be in a position that their strengths accentuate, and you'll be able to get the most out of them.

He definitely struggled. He was an outgoing, he had an outgoing personality and he was, a vocal person. We'll put it that way. So a lot of people were just intimidated by him. So one of our contractors just wasn't comfortable with saying that he couldn't meet expectations or saying that what his expectations were of the of the owner of the company. When I went in and I learned the communication styles, I learned the, the way the the contractor works, does his work the way the, owner does his work. And one of my team members helped me to understand their communication styles and, and merge their skills together because some of their skills worked, some of them didn't. So one of my team members actually helped bridge the gap and identified the skills that worked together with each other so that they could communicate with each other. The contractor and the business owner were able to communicate with each other. And what that really related to and what he created from that was jobs were getting done quicker, they were done more accurate, and they were more cost effective. One key challenge was communication. the and confidence. What I do and what I work with, the people that I work with do people on my team and other people that I, that I work with is I encourage and help build confidence in people. And that was a big reason why I started any of my businesses is to help build confidence in people. What I what happened in that specific situation was the contractor was more confident in himself, more confident in his abilities, and more confident in his communication. So he was able to clearly communicate to the business owner, clearly communicate to the office secretary of his needs and his expectations so that the jobs run smoother.

How to Streamline Construction Material Orders and Increase Efficiency

The contracting company I was with last year implemented, new material ordering process because the secretary that they had doing it was placing bad orders or wrong orders. The communication between the contractors and the secretary was, was misaligned because the contractors were using verbiage and construction jargon that the secretary secretary didn't understand. So she was ordering wrong parts, wrong materials that she didn't even know she was doing. So I implemented a spreadsheet that had both the construction jargon in it, linked to the office verbiage that she could understand so that the orders were properly placed and the jobs were getting the correct materials for the holistic approach. So at Stratus Business Consulting, we don't just look at the individual, we don't just look at the company as a whole, from going from corporate America and dealing with a large company of over thousands of employees and thousands of users. It's a lot of times we get lost just thinking about the bigger picture. I don't just worry about the bigger picture. We get the bigger picture down. We get the higher overview done, we get the organizational chart done and the general overview of the processes.

But every industry changes, so on average we'll be able to get everything set up and running for a normal small sized business in the matter of two months. We've got consulting packages where we have ongoing check ins, and I go over the processes that are working and any struggles that the company is seeing during the processes. the best thing to do is to make sure we're staying in communication. We have clear expectations of each other and we know what processes are working, what processes are needing to be improved, and we build that calendar out.

The discovery phase can last a week or up to six months. if the company is large and intricate and Stratos, we get to know every aspect of the business in order to help identify where the business could improve. we're mainly looking to identify the strengths of the business, what services each business is trying to provide their customers, and the employees that are servicing those customers.

We worked with financial institutions and it depends on what product you're you're providing to your customers. Right. But I'm not going to ask, convenience store owner about, or their processes on, you know, how they're investing in their, you know, specific 401 K is or something or a larger investment company.
